Frequently asked questions
Questions the training unit is asked most
Short answers about eligibility, applying, and what happens once you are placed. Anything covered in full by the guide is linked from there.
Eligibility
Who is eligible for field training?
Students who have reached level 8 or above and completed at least 90 credit hours of the study plan, with no active suspension and their academic advisor’s approval. The training unit may reduce the hours threshold to 85 where the guide allows.
How do I know whether I am eligible?
Sign in and open “My eligibility”. It is calculated automatically from your registrar record — you never type it in — and it shows each figure against what the rule requires, so you can see exactly which one falls short and by how much.
My eligibility says my level is unknown. What does that mean?
The registrar file the college loads does not carry a level column, so it has to be supplied separately. Until it is, the platform will not mark you eligible — it fails safe rather than passing you through on an assumption. Contact the training unit.
I am a few hours short. Can an exception be made?
The college can apply the guide’s waiver to a whole cohort, which the training unit sets on the cycle. Individual exceptions are handled by the unit directly, not through the platform.
Applying
When can I apply?
Each training cycle has its own application window, shown on your dashboard. Applications are refused before it opens and after the deadline, so check the dates before the last day.
Why can I not apply to a particular opening?
Either its seats are full, it is aimed at a different programme, or you do not currently meet the eligibility rules. The opening says which — the button explains itself rather than simply failing.
How many openings can I apply to?
As many as you like, but you can hold only one confirmed place per cycle. Once an application is accepted, that is your place unless you withdraw it.
Who decides on my application?
The host organisation decides on applicants to its own openings; the training office can also decide, and can submit on a student’s behalf. Either way you are notified of the outcome.
During training
How long is the training?
At least eight weeks, five days a week, totalling 240 training hours.
Who supervises me?
Two people: an academic supervisor from the college, allocated by the training office, and a field supervisor from the host organisation. You are notified when your academic supervisor is assigned.
How many days of absence are allowed?
Five working days in total. Reach that and you are barred from the course and must repeat the training period — which is why your attendance is recorded day by day.
Can I withdraw from the training course once it has started?
Only where there is a compelling excuse. In cases of utmost necessity the field training unit may accept it and allow you to withdraw from the course, referring the matter to the college’s vice-deanship for academic affairs for the formal procedure.
Can I change host organisation once I have started?
Only through the college’s field training unit. Leaving without notifying both your academic supervisor and the unit is a violation.
For host organisations
How does our organisation join?
Register your organisation from this site. The request goes into the training office’s approval queue, and once approved you receive a login and can post openings.
What can we do once approved?
Post openings with seat counts and a target programme, publish or close them, and review and decide on the students who apply — individually or a screenful at a time.
Can we see students who applied elsewhere?
No. An organisation sees only its own openings and its own applicants. National ID numbers are never included.
